Purpose of This Guide

A clear ID window can keep ownership, routing or contents information visible without opening the bag. It supports consistent identification at storage, dispatch and receiving points.

The Security Zipper Bag, Reinforced Security Carry Bag and Lockable Security Carry Bag in the current range have clear ID windows. The Fireproof & Waterproof Security Bag does not show a visible external ID window, so any identification requirement must be confirmed separately.

Important: An ID window is not an electronic tracking system and does not create a chain-of-custody record by itself. Avoid displaying unnecessary personal or confidential information.

Separate the information displayed on the bag from the record maintained by your organisation.

Design the ID-Window Information

Use short, readable information that helps staff identify the bag at a glance: bag reference, department, route, destination, contents category or handling instruction.

Check visibility in the normal carrying position and allow enough contrast between the insert and text. Confirm insert dimensions and window placement during quotation.

Printing, barcode or QR requirements are order-specific. Request feasibility and an approved layout rather than assuming these features are included.

Build the Handover Record

A practical record can include the bag reference, seal or lock status, sender, recipient, date, time and visible condition. The organisation decides which fields are required and where the record is stored.

For the Security Zipper Bag, a recorded detachable-seal identifier can be checked at each transfer. For lockable bags, the record can note lock status or key and combination control without displaying sensitive access details.

The bag supports the process; staff actions and the organisation’s record create accountability.
